🛠️ Step-by-Step: How to Create a Pivot Table
Step 1: Prepare Your Data Table
- Ensure your dataset has clear header names for every column (e.g., Date, Category, Salesperson, Amount).
- Make sure there are no blank rows or blank columns inside your data range.
Step 2: Insert Pivot Table
- Click anywhere inside your data table.
- Go to the Insert tab on the top ribbon.
- Click PivotTable (or press shortcut Alt + N + V + T).
- Choose New Worksheet and click OK.
Step 3: Arrange Fields in the PivotTable Field List
Drag and drop your column fields into the 4 Pivot Table areas:
- Rows: Drag fields you want to group by (e.g., Category or Salesperson).
- Values: Drag numerical fields you want to calculate (e.g., Sales Amount). Excel will automatically apply
SUM. - Columns: Drag fields to split data horizontally (e.g., Year or Region).
- Filters: Drag fields to filter the entire report by specific criteria.

💡 Pro Tips
- Refresh Data When Source Changes: Pivot Tables do not update automatically when you edit source data! Right-click anywhere inside your Pivot Table and click Refresh (or press Alt + F5).
- Change Calculation Type (Count, Average, Max): Right-click any value cell in the Pivot Table ➔ select Summarize Values By ➔ choose Count, Average, or Max instead of
SUM. - Group Dates by Month or Year: Right-click any date inside the Pivot Table rows ➔ click Group... ➔ select Months or Years to organize daily transactions into monthly summaries automatically!
